Privacy policy

1. Who we are

TakeoffIQ LLC ("we", "us") runs the TakeoffIQ website and software (the "Service"). This policy explains what information we collect when you or your company use the Service, what we do with it, and your choices. Questions: support@TakeoffIQ.net.

2. What we collect

• Account details - company name, contact name, street address, phone, e-mail and a password (stored only as a one-way hash).
• Your drawings and job files - the PDF drawing sets and specifications you upload, and everything made from them (counts, estimates, proposals, reports, RFIs, notes, price book, company letterhead details, vendor list).
• Billing - your plan, billing status and invoices. Card numbers are entered on Stripe's own pages and are held by Stripe, never by us.
• Records of acceptance - when you accept the terms of service we keep a record of the date, time, your name, company, e-mail, IP address and browser, as proof of the agreement.
• Usage and technical data - number of takeoffs and AI symbol checks per month (for plan limits), log-in times, and server logs (IP address, pages requested, errors) kept for security and troubleshooting.

3. How we use it

• To run the Service for you: read your drawings, produce takeoffs and reports, and keep your work in your account.
• To bill you, enforce plan limits, prevent abuse and keep the Service secure.
• To send you service e-mails (password resets, team invitations, billing notices). We do not send marketing e-mail without your consent.
• Symbols you confirm teach your company's own symbol library. We do not use one customer's drawings to train anything used by another customer, and we do not sell your information.

4. Who else sees it

Your drawings and jobs are stored in a private area of your company's account. Only the people on your company's team can open them. We use a small number of service providers, only to run the Service:

• Hosting (our cloud host, in the United States) - stores the files and runs the software.
• Stripe - payments and invoices.
• Anthropic (AI provider) - when the AI symbol check is used, small cut-outs of plan symbols and legend symbols (no title block, no project name) are sent to check what a symbol is. They are not used to train the provider's models under its commercial terms.
• E-mail delivery - to send the service e-mails above.

We may disclose information if the law requires it, or to protect our rights or someone's safety.

5. How long we keep it

Your jobs stay in your account while it is open. If you cancel, your jobs are kept so you can come back; ask us at support@TakeoffIQ.net and we will send you a copy or delete them. Acceptance records and billing records are kept as long as the law or our legitimate business needs require. Backups roll over within 30 days.

6. Security

Connections are encrypted (HTTPS), passwords are hashed, each company's files are kept in a separate area that other customers cannot reach, and log-in attempts are limited. No system is perfectly secure; tell us at support@TakeoffIQ.net if you suspect a problem.

7. Your choices

You can update your company details and team in your account, download your reports at any time, and ask us to export or delete your account and files by writing to support@TakeoffIQ.net. Depending on where you live you may have further rights (for example under California law); we will honor them.

8. Children

The Service is for businesses and is not directed to children under 16.

9. Changes

If we change this policy we will post the new version here and, for important changes, tell account owners by e-mail.
